How cloud records become useful information

A bank feed imports movements in your bank account, but it does not establish whether a payment is a business expense, a loan repayment or a personal withdrawal. Invoices, receipts and context still matter. Reconciliation connects that evidence to the bank and identifies transactions that need attention. Good bookkeeping also records amounts that have not yet been paid, so a report can distinguish sales from cash receipts and supplier costs from bank payments.

Working with your current accounting software

If you already use Xero, QuickBooks or another system, tell us which product and subscription you have. We can discuss whether to keep your current setup, improve the categories or plan a migration. Bank-feed availability, integrations and Making Tax Digital functionality vary by product. Before changing software, it is sensible to export historical records, check opening balances and agree responsibility for any unresolved items.

Digital records and Making Tax Digital

MTD for Income Tax began on 6 April 2026 for eligible sole traders and landlords with qualifying income above £50,000 in 2024/25. Qualifying income means gross self-employment and property income combined, before expenses. The later entry thresholds are above £30,000 for 2025/26 income from April 2027, and above £20,000 for 2026/27 income from April 2028. Exemptions can apply. Salary and dividends do not themselves count towards qualifying income. VAT has separate digital-record rules.

A practical monthly bookkeeping routine

Keep business and personal payments identifiable, upload receipts regularly and flag unusual transactions when they happen. Let us know about new finance agreements, assets bought or sold, refunds and cash receipts. Agree a cut-off for records before a reporting date. A regular routine makes missing information easier to resolve and gives annual accounts and tax calculations a more reliable starting point.
